This policy explains how IN Engineering + Planning and its related companies (IN Engineering Ltd., IN Planning Ltd., IN Design + Construction and INEAS Corp., together "we", "us" or "our") collect, use, share and protect personal information. It applies to our websites, including portal.ineng.ca, inengineering.ca, inplanning.ca, indesigns.ca and inbuild.ca, our online forms and client portal, and our Google advertising lead forms.

We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable laws.

1. Information we collect

  • Information you give us: your name, email address, phone number, company, address or project location, and the details you share about your project when you complete a contact form, a Google advertising lead form, request a quote, call or email us.
  • Client and project information: information needed to provide our services, such as property details, drawings, permits, correspondence, quotes, invoices and payment records.
  • Job applicants: the information in your application, resume and related correspondence.
  • Client portal users: your login details and activity in the portal.
  • Information collected automatically: when you visit our websites we and our service providers may collect technical information such as your IP address, browser and device type, pages visited, the website or advertisement that referred you (including advertising click identifiers and campaign tags), and the date and time of your visit.

2. How we use your information

  • To respond to your inquiry, prepare quotes and provide our engineering, planning, design and construction services.
  • To manage our client relationships, projects, billing and records.
  • To assess job applications.
  • To understand how visitors find and use our websites, and to measure and improve our advertising.
  • To protect our websites and forms from spam, fraud and abuse.
  • To meet our legal, professional and regulatory obligations.

We only send you marketing emails with your consent, as required by Canada's Anti-Spam Legislation (CASL). You can unsubscribe at any time using the link in the email or by contacting us.

3. Cookies and similar technologies

Our websites use cookies and similar technologies (such as browser local storage) to:

  • keep the site and client portal working (for example, keeping you signed in);
  • measure site traffic with Google Analytics;
  • measure the results of our Google Ads advertising, including remembering which advertisement or campaign brought you to our site for up to 90 days so that an inquiry you submit can be linked to it;
  • protect our forms from spam using Google reCAPTCHA.

You can block or delete cookies in your browser settings. Some parts of the site may not work properly if you do. You can learn how Google uses information from sites that use its services at policies.google.com/technologies/partner-sites, and you can opt out of Google Analytics with the Google Analytics opt-out add-on.

4. How we share information

We do not sell your personal information. We share it only as needed to operate our business, including with:

  • Service providers who host or support our systems on our behalf, such as our business management software and website hosting, email and office software, and Google (Analytics, Ads and reCAPTCHA). They may only use the information to provide services to us.
  • Project partners and authorities where needed to deliver your project, for example sub-consultants, contractors, municipalities and permit or approval authorities.
  • Professional advisors such as our accountants, lawyers and insurers.
  • Others where required or permitted by law, or in connection with a sale or reorganization of our business, subject to appropriate confidentiality protections.

Some of our service providers may store or process information outside Canada, including in the United States, where it may be subject to the laws of that country.

5. How long we keep information

We keep personal information only as long as needed for the purposes described above, or as required by law and professional record-keeping obligations. Project records may be kept for many years after a project is complete, as required for engineering and professional practice.

6. How we protect information

We use reasonable physical, organizational and technical safeguards to protect personal information, including access controls, secure connections (HTTPS) and limiting access to staff and service providers who need it. No method of transmission or storage is completely secure, but we work to protect your information and will notify you and the authorities of a breach where required by law.

7. Your choices and rights

You may ask to access the personal information we hold about you, ask us to correct it, or withdraw your consent to our use of it (subject to legal or contractual restrictions). To make a request, contact us using the details below. We may need to verify your identity before responding.

8. Children

Our websites and services are intended for adults and businesses. We do not knowingly collect personal information from children.
